Who We Are

Zenith Management Ltd is responsible for property management and for employing staff, workers, and independent contractors. We process your personal data in accordance with UK GDPR and the Data Protection Act 2018.

Block Management (Leaseholders, Residents, Clients)

• Identity Data: Name, property address, correspondence address, date of birth, photographic ID.

• Contact Data: Email, telephone numbers, postal address.

• Lease and Ownership Data: Lease details, ownership records (e.g. title register, mortgagee).

• Financial Data: Service charge accounts, payment history, arrears, bank details if necessary.

• Communication Data: Complaints, queries, maintenance requests, correspondence records (email/letter/phone/portal).

• Building Usage Data: Key fob logs, parking permits, visitor log (if used).

• Legal Notices: Records of statutory notifications, tribunal or court correspondence.

• Emergency Contact Data: Names and details provided for emergencies.

• CCTV Footage (where present): Images collected for security.

• Special Category Data: Health/disability information supplied for building access, emergencies, or reasonable adjustment.

Employment and Recruitment (Staff, Workers, Contractors)

• Identity Data: First name, last name, passport number, photographic ID.

• Contact Data: Email, address, phone numbers.

• Recruitment Data: Qualifications, skills, experience, employment history, right-to-work documentation, references, application/CV contents.

• Special Category Data: Health/medical information, criminal offence data, diversity data (if supplied).

• Employment Data: Payroll, contractual benefits, salary, performance, sickness records, training needs, disciplinary/grievance records.

How will we use the information about you?

Property Management: Administer your account; manage service charges; arrange building maintenance; communicate building matters; fulfil legal and safety obligations; respond to complaints and queries; process insurance/claims; manage access and security; comply with statutory and landlord/tenant law responsibilities.

Employment/Recruitment: Assess applications; verify right to work; make recruitment and employment decisions (including reasonable adjustments); manage payroll and benefits; monitor attendance and performance; provide training and development; deal with legal claims; comply with employment law.

Lawful Basis for Processing

We process your information:

• To perform contracts (property management/leases/service agreements, employment contracts).

• To fulfil legal obligations (health and safety, employment law, fire safety, landlord/tenant law).

• For legitimate interests (property management, staff administration, security, responding to correspondence).

By consent, where you have specifically agreed (e.g., for marketing communications).

Sharing Your Information

We may share your data with:

• Our staff and authorised contractors. 

• Freeholders, RMC or RTM directors, and professional advisers.

• Insurers, brokers, surveyors, loss adjusters, solicitors.

How Long Do We Keep Your Data?

Property Management: Retention generally lasts for the period of ownership/occupation and up to 6 years after end of your lease/account. Complaint and correspondence records may have longer retention if needed for legal/statutory purposes. 

Employment/Recruitment: Recruitment records are retained up to one year if unsuccessful; employment records are kept for statutory periods after employment ends.

Your Data Protection Rights

You have the right to request a copy of the information that we hold about you.
